Position Overview:

We are not your typical tax and accounting firm. Our entrepreneurial firm is poised for aggressive growth, and we’re looking for a receptionist who can hit the ground running and give callers and visitors an outstanding customer service experience.
Our receptionist will build relationships with people who contact our firm and seek help with tax or accounting services. Success in this position requires that you display a combination of empathy, experience, and skill. You will play an integral role in creating memorable experiences for clients and everyone else who contacts our firm.
Skills and experience are appreciated and valued and certainly considered, but your personality, character, intelligence, and integrity are also extremely important considerations.
Oh, and we are growing, so you will be called upon to wear many hats. You need to be able to change gears quickly … with a smile.

Key Responsibilities:
- Greet clients and visitors in a warm and friendly manner, creating a professional and welcoming first impression.
- Answer and direct incoming phone calls, taking messages when necessary and forwarding calls to appropriate team members.
- Schedule appointments for clients and coordinate with staff to manage the daily appointment calendar efficiently.
- Manage the flow of the front office, ensuring an organized and tidy workspace.
- Assist with administrative tasks, including data entry, filing, scanning, and photocopying documents.
- Communicate effectively with clients, staff, and partners to address inquiries, relay messages, and provide accurate information.
- Assist with client onboarding processes, ensuring all necessary paperwork is completed and filed accurately.
- Maintain confidentiality and handle sensitive information with discretion and professionalism.
- Collaborate with the administrative team to coordinate office supplies, equipment maintenance, and other operational needs.
- Assist in coordinating meetings, seminars, and events hosted by the firm.
- Provide basic support for technology-related issues, such as troubleshooting minor computer and printer problems.
- Stay updated on the firm’s services, policies, and procedures to provide accurate information to clients.
Qualifications:
- Fluency in both spoken and written English and Spanish is essential.
- High school diploma or equivalent; associate’s degree or higher is a plus.
- Proven experience as a receptionist, front office representative, or in a similar customer-facing role is preferred.
- Strong interpersonal and communication skills, with the ability to interact effectively with clients and colleagues.
- Excellent organizational skills and attention to detail.
- Proficient computer skills, including familiarity with Microsoft Office Suite.
- Ability to handle multiple tasks and prioritize responsibilities in a fast-paced environment.
- Professional and friendly demeanor with a customer-centric attitude.
- Strong problem-solving skills and the ability to remain calm under pressure.
- Knowledge of basic office equipment and technology.
- Knowledge of tax and accounting concepts is a plus but not required.
