Position Overview:

We are seeking a highly motivated and professional Bilingual Full-Time Receptionist to join our dynamic and growing tax and accounting firm. The ideal candidate will be fluent in both English and Spanish, possess exceptional communication skills, and excel at providing outstanding customer service to our diverse client base. As the first point of contact for our firm, the Receptionist plays a crucial role in creating a positive and welcoming atmosphere for clients and visitors.

Key Responsibilities:
  • Greet clients and visitors in a warm and friendly manner, creating a professional and welcoming first impression.
  • Answer and direct incoming phone calls, taking messages when necessary and forwarding calls to appropriate team members.
  • Schedule appointments for clients and coordinate with staff to manage the daily appointment calendar efficiently.
  • Manage the flow of the front office, ensuring an organized and tidy workspace.
  • Assist with administrative tasks, including data entry, filing, scanning, and photocopying documents.
  • Communicate effectively with clients, staff, and partners to address inquiries, relay messages, and provide accurate information.
  • Assist with client onboarding processes, ensuring all necessary paperwork is completed and filed accurately.
  • Maintain confidentiality and handle sensitive information with discretion and professionalism.
  • Collaborate with the administrative team to coordinate office supplies, equipment maintenance, and other operational needs.
  • Assist in coordinating meetings, seminars, and events hosted by the firm.
  • Provide basic support for technology-related issues, such as troubleshooting minor computer and printer problems.
  • Stay updated on the firm’s services, policies, and procedures to provide accurate information to clients.
 
Qualifications:
  • Fluency in both spoken and written English and Spanish is essential.
  • High school diploma or equivalent; associate’s degree or higher is a plus.
  • Proven experience as a receptionist, front office representative, or in a similar customer-facing role is preferred.
  • Strong interpersonal and communication skills, with the ability to interact effectively with clients and colleagues.
  • Excellent organizational skills and attention to detail.
  • Proficient computer skills, including familiarity with Microsoft Office Suite.
  • Ability to handle multiple tasks and prioritize responsibilities in a fast-paced environment.
  • Professional and friendly demeanor, with a customer-centric attitude.
  • Strong problem-solving skills and the ability to remain calm under pressure.
  • Knowledge of basic office equipment and technology.

As a member of our team, you’ll be entrusted with the responsibility of keeping accurate records of our clients’ transactions, including purchases, sales, receipts, and payments. Key Responsibilities:
  • Perform bookkeeping for our clients, recording day-to-day financial transactions and completing the posting process
  • Ensure that transactions are recorded in the correct day book, suppliers ledger, customer ledger, and general ledger
  • Reconcile sales taxes, payroll taxes, 401k, and bank accounts at the end of each month
  • Monitor financial transactions and reports
  • Process accounts receivable and payable
  • Understand ledgers and financial statements
 
Qualifications:
  • Proven bookkeeping experience
  • Solid understanding of basic bookkeeping and accounting principles
  • Proven ability to calculate, post, and manage accounting figures and financial records

Job Duties

As a tax manager, you will contribute to developing the strategy for each client’s tax preparation and know where to find the IRS code, including Regulations, Compliance, and Rules to support that return’s strategy. You also need to demonstrate project confidence and competence when dealing with clients directly and with government agencies on behalf of our clients.

 

The Right Candidate: 
  • Possesses active unrestricted credentials: CPA (Certified Public Accountant), Tax LLM or JD
  • Has three or more years of public accounting and tax preparation experience with extensive knowledge of tax laws 
  • Has one or more years of recent experience preparing federal and state S-corp, C-corp, and partnership tax returns  
  • Is proficient with technology and has solid knowledge of computer operations, Microsoft Suite, and accounting software.
  • Greets all potential and existing clients with a warm, friendly welcome
  • Is skilled at communicating with people on the phone, in person, and by email
  • Is a relationship-builder who is comfortable interacting with different types of personalities and all levels of authority
  • Can work in a fast-paced environment with minimal supervision 
  • Finds value in doing it right the first time (proofreading and double-checking details)
  • Has an insatiable hunger to find ways for our clients to save more on taxes
